Damage Payment
When services are performed prior to signing the Oath of Allegiance (required for US citizens only) a "damage payment" is necessary to pay the impacted individual.
Based upon legal requirements, taking the State Oath of Allegiance is a requirement of all prospective employees before commencing the duties of their University employment. It is the continuing responsibility of those involved in the hiring process to obtain properly executed oaths from all appointees and employees (except Aliens) prior to the time they commence University service.

Evaluations
We suggest evaluating your student workers (Evaluation Form) at the end of each semester and discussing their working progress. At that time it is at your discretion if you would like to give your student a raise.
TRS Primary or Backup Supervisor Change:
It is the department's responsibility to submit a request to update an employee's TRS approver information if the re-assignment was temporary due to a leave of absence.
- Individual TRS Approver/Reports To Update: Use this form to request the change of an individual employee's Primary, Secondary or Optional Back Up Approver. You may additionally use this form to submit a change in the "Direct Report" of an employee. Please note: Change of the "Direct Report" data for STAFF employees will be forwarded to Human Resources for update in Saba (formerly Halogen).
- Mass TRS Approver Change Request: Use this form to request the temporary or permanent reassignment of a primary, secondary or optional back-up approver for a group of individuals. "Reports to" updates can only be facilitated via the Individual TRS Approver/Direct Report Update form.
Student Policies and Procedures - Student employees are designated as Professional and Support Staff (PSS) with Casual/Restricted status. The terms and conditions of student (non-academic) positions are governed by Personnel Policies for Staff Members (PPSM).
Student Employee Confidentiality Agreement
Each student worker at the University of California, Merced, holds a position of trust relative to maintaining the security and confidentiality of records and/or data files and must recognize the responsibility entrusted to him/her (Confidentiality Agreement).
Students may have access to records that contain individually identifiable information, the disclosure of which is prohibited by the Family, Educational Rights and Privacy Act of 1974 (FERPA). Since conduct on or off the job may threaten the security and confidentiality of these records in any form, each student employee is expected to adhere to the following standards:

No one may make or permit unauthorized use of any information in files maintained, stored or processed by student workers in their respective placement.

No one is permitted to seek personal benefit or allow others to benefit personally by knowledge of any confidential information that has come to him/her by virtue of the work assignment.

No one is permitted to exhibit or divulge the contents of any record or report to any person except in the conduct of his/her work assignment and in accordance with departmental or institutional policy.

No one may knowingly include or cause to be included in any record or report a false, inaccurate or misleading entry.

No official record or report, or copy thereof, may be removed from the office where it is maintained except in the performance of a person's duties.

Any knowledge of a violation of this agreement must be immediately be reported to a supervisor.

Violation of the agreement may lead to a reprimand, suspension, or dismissal from your student employment position. Additionally, judicial sanctions may be considered according to policies of the University of California, Merced.
