Undergraduate Student Employment COVID-19 Updates

Student Employment Services is will be closing for walk-in new hire services at 3 pm on Wednesday, March, 18, 2020. 


Hiring Manager/Supervisor/Department Representative must utilize this form to notify Student Employment Services of a new hire intake need.  Once notification is received, a Student Employment Coordinator will reach out to the student via email to complete hiring documents.  Temporarily relaxed work authorization regulations now allow us to facilitate the new hire intake process remotely.  However, actual hire start dates are contingent on the employee completing the remote hiring process IN FULL before they may begin performing services. 

As usual, hiring manager/supervisor will receive an email notification when their employee is cleared to begin work.     


  • Undergraduate student employees who are authorized to work remotely must complete the UC Merced "Temporary Telecommute Agreement". Supervisors will provide a signed copy to the employee, retain a signed copy for their reference/records and forward the original signed document VIA EMAIL to Student Employment Services utilizing the naming convention "Last, First_COVID telecommute agreement". 
  • Extensions or updates to Temporary Telecommute Agreements should be forwarded to Student Employment Services.

Below are a few FAQs related to COVID-19 impacts to undergraduate student employees. 

Are undergraduate student employees covered under President Napolitano’s Executive Order?

Yes, undergraduate student employees (for example, Student Asst 1-4, Resident Assistants…) are included in the order issued on March 16, 2020. 


Are undergraduate student employees able to work remotely?

Possibly.  While not all student positions allow for the ability to perform work remotely, those who can should work with their supervisors to determine expectations and complete a UC Merced “Temporary Telecommute Agreement”.


I am/was scheduled to work but cannot due to my own COVID-19 related illness or UC directive related to COVID-19.  Will I still receive pay?

Yes. Undergraduate student employees who were scheduled to work but cannot due to their own COVID-19 illness or a UC Merced directive, are eligible for administrative leave with pay to cover compensation for pre-scheduled hours.

Hourly paid student employees need to utilize the “Paid Leave(COVID19)” code in the Time Reporting System (TRS).  Monthly paid (academic) student employees must contact the Academic Personnel Office for information related to COVID-19 impacts. 


I was hired into a Federal Work Study position.  Do I still qualify for the administrative paid leave?

Yes.  Due to special permission from the Department of Education, student workers who are currently employed using federal work study awards may continue to be paid for their normally scheduled shifts if they are unable to report to work due to COVID-19 related issues. Scheduled, but non-worked hours must be reported in the Time Reporting System (TRS) using the “Paid Leave(COVID19)” code.


Will my paycheck be delayed due to COVID-19 impacts?

No.  UC Merced Payroll Services and UCPath are working to ensure there are no interruptions to employee pay delivery. However, HOURLY paid employees must continue to submit timesheets via TRS by the published deadlines to avoid any interruption to pay issuance.  If you are unable to submit your timesheet by the deadline, please contact your supervisor to assist with submission on your behalf. If you are unable to access TRS or have difficulties creating, editing or submitting your timesheet, please contact TRS Support.
